Job Summary
We are seeking an experienced and highly organized School Administrative Manager to oversee the school’s administrative operations, human resources support, facilities management, financial coordination, and regulatory compliance. The ideal candidate will ensure smooth day-to-day operations while supporting school leadership, staff, students, parents, and external stakeholders.
Key Responsibilities
1. Office & Administrative Management
Supervise and lead the administrative office team, including receptionists, secretaries, and clerical staff.
Maintain organized filing systems for student and employee records.
Manage school calendars, schedules, meetings, and internal communications.
Oversee procurement and inventory of office and school supplies.
Ensure efficient day-to-day administrative operations.
2. Human Resources Support
Support recruitment, onboarding, and employee exit processes.
Maintain accurate employee records and HR documentation.
Monitor staff attendance, leave records, and prepare HR reports.
Ensure compliance with HR policies and procedures.
3. Financial & Budget Administration
Assist in preparing and monitoring the administrative budget.
Coordinate with the finance department regarding billing, payroll, and petty cash reimbursements.
Maintain proper documentation for financial transactions.
Support financial reporting and administrative expense tracking.
4. Facilities & Asset Management
Coordinate maintenance and repairs of school buildings and infrastructure.
Manage relationships with vendors, contractors, and service providers.
Supervise services such as security, housekeeping, IT support, and facility maintenance.
Ensure workplace health, safety, and security standards are maintained.
5. Communication & Stakeholder Coordination
Act as a liaison between school management, staff, parents, and external organizations.
Draft official letters, notices, circulars, newsletters, and communications.
Handle parent inquiries and complaints professionally.
Support effective communication across departments.
6. Compliance & Record Management
Ensure compliance with education regulations and accreditation requirements.
Maintain records required for audits, inspections, and statutory reporting.
Coordinate data collection and preparation of school reports and statistics.
Maintain confidentiality of school and employee information.
