Job Summary

We are hiring an Executive – Administration for a leading client in the Mutual Fund industry. The ideal candidate will have 1–3 years of experience in administrative management and will be responsible for supporting office operations, vendor management, compliance activities, travel coordination, asset management, and facility administration across multiple locations.

Key Responsibilities
Administrative & Facility Management
Provide administrative support to corporate offices and branches across the country.
Coordinate with architects and vendors for office interior and civil work projects.
Maintain and update administrative MIS reports regularly.
Supervise day-to-day office operations, repairs, and maintenance activities.
Ensure proper functioning of office infrastructure and equipment.
Compliance & Government Liaison
Coordinate with government authorities to obtain necessary work permits and approvals.
Ensure timely application and renewal of Shop & Establishment certificates.
Maintain statutory records and ensure mandatory certificates are displayed as per compliance requirements.
Monitor renewal of lease agreements and AMC contracts before expiry.
Asset & Inventory Management
Maintain accurate asset records and implement asset tagging systems.
Manage allocation and tracking of company mobile devices and SIM cards.
Ensure proper inventory management of office equipment and resources.
Vendor & Contract Management
Manage and renew AMC contracts for ACs, CCTV systems, EPABX, Fire Alarm Systems (FAS), and other office equipment.
Coordinate with vendors for maintenance and service requirements.
Monitor vendor performance and service quality.
Safety & Security Management
Assist in maintaining fire extinguishers, water sprinklers, and fire alarm systems.
Ensure workplace safety standards and compliance requirements are met.
Travel & Event Coordination
Coordinate employee travel arrangements including:
Flight bookings
Hotel accommodations
Car rentals
Visa processing
Support the planning and execution of employee events, conferences, celebrations, and team outings.
